This is the final part of a three-part series on Enterprise Resource Planning Systems and their importance to CircleIT’s ability to protect client data. You can read part two here.
CircleIT prioritizes transparency in its relationship with clients and ensures that they can effectively track the journey of their devices from on-site preparation to transportation and repurposing. CIrcleIT can provide its clients with the highest level of transparency due to its Enterprise Resource Planning (ERP) System, NetSuite by Oracle. But it conveys this information through its TrackIT portal. The TrackIT portal is the hub from which IT Asset Managers (ITAMs) at a company or everyday consumers can access the data, reports, and device statuses compiled by NetSuite to record every step in CircleIT’s rigorous process.
The TrackIT portal is comprehensive, client-friendly, and provides ITAMs and users with a wealth of features that make Information Technology Asset Disposition (ITAD) simple and secure. The portal, which integrates NetSuite data, allows clients to place and customize pick-up requests, track assets along every step, and receive extensive environmental and social impact reporting for their sustainability reports.
The TrackIT portal pick-up dashboard offers clients an array of options to fully customize their requests to their specific needs. Clients can enter multiple pick-up locations (including those of “parent” companies or “child” divisions), packaging specifications, loading dock particulars, and the size of the truck needed. But most importantly, the TrackIT portal enables clients to make special requests for on-site services. This could be anything from the complete “down to the concrete” decommissioning of a data center to on-site hard drive shredding and asset scanning. CircleIT can put the teams in place to fulfill a client’s hyper-specialized needs through NetSuite and the TrackIT portal. And for repeat requests, the portal pulls from pre-existing NetSuite data to prevent tedious data entry and add ease to the process.
Another vital feature of the TrackIT portal is client customization and security. Clients can stratify access to information and abilities within the portal. Each client user can have highly unique access characteristics based on their secure logins. For example, an individual site manager might be able to make asset pick-up requests but may be limited to accessing underlying data while a sustainability officer might be only able to review environmental impact reports.
NetSuite is the web that conveys to CircleIT and its clients that the processes are happening. It enables CircleIT to create a robust TrackIT portal knowing that the data compiled is a reliable ledger with one source of truth that its clients can have faith in, rather than the disparate systems used by other providers which can get out of sync.
Without investment in an industry-leading ERP, CircleIT could not convey the same confidence in the data it shares with clients. It would not be able to state that all data-bearing devices have been 100 percent wiped, creating uncertainty and mistrust with its clients. CircleIT’s use of NetSuite does not make ITAD any sexier, but for ITAMs and consumers, it makes ITAD much more secure.
